How to Manage Program Coupons?

Overview

Program Coupons allow administrators to distribute price reductions (either a flat currency reduction or a percentage value markdown) that target an entire Program rather than individual course modules. These promotional keys are widely used to drive corporate B2B cohort enrollments, distribute bundle packages, or reward student retention across full multi-course specialization tracks.

Tip: Ensure you possess administrative privileges and are logged into the Open edX E-commerce dashboard via your central management panel before proceeding.

Step 1: Copy Your Program Identifier

To bind a promotional campaign to a multi-course sequence, you need to extract its structural identification key.

  1. Navigate to your platform's administrative dashboard panel and open the E-commerce console view.
  2. Click on the Programs or Products catalog tab.
  3. Locate the specific multi-course track bundle (e.g., Data Science MicroMasters or Executive Leadership Certification).
  4. Copy the unique Program ID string associated with that group row.

Step 2: Initialize the Program Coupon Creation Form

With the identifier key captured, launch the marketing creation wizard.

  1. Switch over to the Coupons configuration page inside the E-commerce sub-navigation panel.
  2. Click the Create Coupon button located in the top-right corner of your coupon list registry.
  3. In the initial prompt window, select the Program option (instead of Single Course).
  4. Paste your copied identifier code directly into the Program ID field.

Step 3: Complete Campaign and Usage Configurations

Fill out the following parameter rows to establish your promotional timeline, discount behavior, and distribution scope:

Core Campaign Identifiers

  • Coupon Name: Give your promotion a descriptive administrative title (e.g., B2B Partner Corporate Discount Q3). Unique names help streamline grade performance and marketing analysis down the line.
  • Code Type: Select between two options:
    • Enrollment Code: Automatically sets the price reduction threshold to exactly 100%, effectively generating full scholarship access passes.
    • Discount Code: Allows you to define custom price reductions (using a flat monetary markdown or a precise percentage reduction).
  • Category: Choose the appropriate system classification tag that matches your explicit marketing or institutional requirement.

Operational Timelines

  • Valid From: Specify the initial calendar activation date and timestamp (in UTC time zone coordinates).
  • Valid Until: The explicit expiration deadline for code redemption. Note: The system validation parser requires the 'Valid Until' timestamp to sit chronologically ahead of the 'Valid From' value to prevent database array generation errors.
  • Notes: (Optional) Enter internal context remarks, compliance annotations, or client contract numbers.

Usage Limitations and Scope

Choose how tightly controlled code redemption should behave from the drop-down selector:

  • Can be used once by one customer: Restricts a single code instance to a single profile validation pass. Excellent for custom, individual student scholarship awards.
  • Can be used once by multiple customers: Generates a uniform tracking code string that can be shared with an entire group, but each distinct profile can only apply it once.
  • Can be used multiple times by multiple customers: The most permissive track. A shared master code string can be re-applied repeatedly by users across the checkout cart until global usage cap pools are drained.

Specifying Quantities and Value Reductions

  • Code Word: If you selected Discount Code and specified exactly 1 in the code quantity field, you can type a custom customer-facing phrase (e.g., LEADERS2026). If you are creating multiple codes, leave this blank for system auto-generation.
  • Number of Codes: Specify the total number of distinct alphanumeric tracking entries the system should output into your download bundle registry.
  • Maximum Number of Uses: (Populates only for multiple-customer constraints) Set a strict numeric cap representing the absolute highest number of aggregate times this coupon can hit the checkout cart server-wide before turning inactive.
  • Discount Value: Toggle the selection switch between Percent or Fixed and enter the numerical deduction amount.

Step 4: Finalize, Export, and Distribute

Once the form fields match your promotional campaign criteria, compile the ledger tracking rows.

  1. Scroll to the bottom of the form and click the Create Coupons button.
  2. The page reloads back to your main tracking directory, displaying a success toast banner.
  3. Click the Download link located next to your new coupon entry row.
  4. The platform outputs a structured .csv spreadsheet file containing your generated alphanumeric voucher codes, value tags, and tracking indicators.

Open the downloaded document inside any spreadsheet reader (such as Microsoft Excel or Google Sheets) to extract the clean code strings. They are now live and can be distributed to targeted learners or partner organizations via your automated marketing campaigns or bulk email channels.

Operational Best Practices and Administrative Control

How can I modify coupon details?

If you need to change configurations mid-campaign, navigate to E-commerce > Coupons, click directly on the text label representing the coupon's name, and click Edit Coupon. Make your corrections and click Save Changes.

How can I disable a coupon prematurely?

The platform database does not support deleting an active coupon code file once transaction strings have processed. To force-expire a coupon, enter the Edit Coupon view and change both the Valid From and Valid Until calendar parameters to historical past dates. Click Save Changes to instantly lock the code out of the live checkout engine.

Unique Namespace Rule

Every program or course coupon code phrase registered on the platform system database must be 100% structurally unique. You cannot map an identical coupon code phrase to more than one distinct educational product slot at the same time.
