How to Add Course Team Members?

Manage Course Staff and Administrative Roles

Course team members are users who help you construct, manage, and moderate your course. Adding a collaborator to a course run grants them immediate visibility into your Studio outline draft files, operational settings, and data analytics dashboards.

Prerequisites

Before adding a new collaborator, ensure you fulfill the following criteria:

  • Your Permission Level: You must hold the Admin role for that specific course run.
  • Account Registration: The prospective team member must have already created and activated a user account on your platform.
  • Verified Credentials: You must know the exact, registered email address used by the team member for their platform account.

Step-by-step: Adding a Team Member in Studio

  1. Log in to Open edX Studio.
  2. Click on the course you wish to manage to enter its dashboard workspace.
  3. Open the Settings menu in the top navigation bar and select Course Team.
  4. Click the Add a New Team Member button at the top right of the team directory list.
  5. Type the collaborator's registered email address into the input field and click Add User.

The collaborator is added immediately. They can now log in to Studio and begin building units, writing problems, or modifying settings.

Core Course Privileges (Roles Breakdown)

The level of system access a collaborator receives depends entirely on their administrative assignment. These roles can be managed in Studio or directly inside the LMS (Instructor Dashboard > Membership).

1. The Staff Role

Ideal for course authors, content designers, and teaching assistants. Users with the Staff role can:

  • View and edit draft elements in Studio before the course run officially starts.
  • Manually enroll or unenroll individual learners.
  • Modify student-specific scores, reset question attempts, or extend individual task due dates.
  • Send bulk email communications to all registered course participants.
  • Trigger completion certificates.

2. The Admin Role

The highest tier of control at the course level. Admins retain all Staff privileges listed above, plus exclusive authority to:

  • Reset problem attempts globally for all learners at once.
  • Add or remove other team members as Staff or Admins.
  • Appoint and manage specialized secondary roles, such as Beta Testers, Discussion Moderators, or Community TAs.

Operational Best Practices

  • Previewing the LMS: Adding a user to the course team in Studio does not automatically enroll them as a student. To preview interactive content and test things from a learner's point of view, team members should visit the LMS and click Enroll.

  • Discussion Moderation: Giving a user a Staff or Admin role does not automatically give them moderation badges in the course forums. You must explicitly add them to the Discussion Moderator or Discussion Admin roles via the LMS Instructor Dashboard to let them manage threads.
  • Content Deletion Warning: Any user with Staff or Admin access can permanently delete components or blocks created by other team members. Coordinate tasks carefully to prevent overlapping edits.
